Step 3 — Working with files
Files are at the heart of working with CODEXIS AI
The assistant does more than handle text in a window — it reads your documents, creates new ones and saves them back into folders. Let us look at what happens behind the scenes and how to put it to use.
01Folder structure
Behind the scenes: your folders and files
Every conversation has its own workspace — a folder structure where the assistant stores inputs and outputs alike. You see exactly what it is working with, and you can download any file at any time.
- Parent folder—
- Clients22 h ago
- Legislation and case law22 h ago
- Contracts22 h ago
- Case files22 h ago
- Precedents and templates22 h ago
- register.xlsx5.7 KB
- invoice 2026-014.pdf65.4 KB
- Inputs and outputs kept apart. You can tell at a glance what you uploaded and what the assistant produced.
- Case context. The assistant sees every file in the folder and can draw on all of them.
- Connected to your storage. You can keep the same structure on SharePoint or a network drive (see Step 1).
02Uploading and creating files
You supply the files, or the assistant creates them
Working with files goes both ways: you upload source material for analysis, or you let the assistant produce a finished document. Often both within a single conversation.
Uploading files
Drag documents into the conversation or pick them from your connected storage. The assistant reads them straight away.
Typically: contracts, filings, correspondence, statements — everything the assistant should work from.
Creating files
Ask for a document and the assistant generates a finished file to download — not just text in a window.
Claim analysis
Opinion on exercising rights arising from defective performance under Section 2099 et seq. of the Civil Code
1. Facts
Contract for work concluded on 12 March 2026; handover took place on 8 May 2026 with apparent defects.
2. Legal assessment
The defects were notified without undue delay; the claim for a reduction in the price of the work is well founded.
The output is saved to the Outputs folder and remains part of the case file.
03How it works
The principle in five steps
From uploading source material to a finished output, the same clear, predictable chain runs every time.
- 01
Upload source material
You provide the files or point to a folder in your storage.
- 02
Read the content
The assistant recognises text, tables and the structure of the document.
- 03
Process with citations
It connects the file content with verified legal sources.
- 04
Produce the output
It generates DOCX, PDF, XLSX or PPTX as requested.
- 05
Save it back
The finished file is saved to the case folder and ready to download.
04Word — tracked-change edits
Edits in Word land straight in as tracked changes
When the assistant edits a Word document, it does not quietly overwrite it. Its changes go in as tracked changes (revisions) — you see what was added and what was removed, and you accept or reject each change.
Purchase agreement on the transfer of ownership of real property
concluded pursuant to Section 2079 et seq., Section 2128 and related provisions of Act No. 89/2012 Coll., the Civil Code
I. Contracting parties
Seller:
Full name: [to be completed]
Date of birth: [to be completed]
Permanent residence: [to be completed]
and
Buyer:
Full name: [to be completed]
Date of birth: [to be completed]
II. Declaration of the Seller
The Seller declares that they are the sole owner of the real property recorded in the Land Register…
I reviewed the contract against the current Czech legislation and inserted 5 comments on the key points into the document.
Key findings:
- •the core reference to Section 2079 et seq. and Section 2128 of the Civil Code is essentially correct,
- •I recommended also adding Section 560 of the Civil Code for the written-form requirement,
- •I flagged the need for unambiguous identification of the property per the Land Register,
- •I added a note that the registration application is a separate filing on a form.
The document stays auditable — anyone after you can easily trace what was changed and why.
