Shared credit account

A shared account lets a department or team buy and manage its own credits independently of the main license.

You normally draw credits from the main license, which its administrator manages. A shared account is a separate credit account that anyone on the license can create, invite colleagues to and top up from their own budget. It suits a department or team that wants to pay for and monitor its credits itself. On this page you create the account, add users, top up credits and decide when credits are drawn from it. All you need is a login to the Credit Management application.

Creating an account

Any user with a license can create a shared account. You do not need to be the license administrator. Whoever creates the account becomes its owner and manages it.

  1. Open the Credit Management application. Below the list of licenses is the Shared accounts section.
  2. Click New account.
  3. Enter the account Name, select the Product and tick the Licenses from which you will add users to the account.
  4. Click Create.

After creation, the account detail opens. The header shows the name, product, your Owner role, current credits and the number of users. The Users, Usage history, Packages, Limit settings and Requests tabs work the same as for a license. Their description is on the Credit Management page. The Account settings tab exists only for shared accounts.

Accounts you have access to are listed in the Shared accounts section on the application's home page.

Adding users

On the Users tab, click Add user. You can add users one at a time or in bulk from a file.

  • Individually: enter the user's Email, select the Role and Limit and click Add.
  • Import from file: select a file with the list of users, choose the Role and Limit for all imported users and click Import.

The limit sets how many credits a user can draw from the account per week, month and year. You define your own limits on the Limit settings tab.

Only a user who holds one of the licenses selected when the account was created can be a member. The application rejects an e-mail outside these licenses with the message Failed to add user.

Topping up credits

A newly created account has no credits. The Buy credits button in the account header takes you to the e-shop, where you select a credit package and complete the order. The credits are added to the shared account, not to the license. Purchased packages are listed on the Packages tab and usage on the Usage history tab.

Drawing order

On the Account settings tab you decide whether members draw from the shared account or from the license first. The state applies to all members of the account.

  • Standard: members draw credits from the license first. The shared account is used only when the user has no credits on their license.
  • Priority: members draw from the shared account first, even if they have credits on the license.
  • Suspended: nobody draws from the shared account and usage goes to the license.

The Account licenses section lists the licenses whose users can be added to the account.
